How do I create an Accountant’s Copy in QuickBooks Desktop?

Steps to create an Accountant’s copy of QuickBooks Desktop to send to your Accountant:

Option 1: To send through your own email or file transfer service:

1.     Create the QuickBooks Desktop Accountant Copy:

a)     Go to the File menu and hover over Send Company File.

b)    Hover over Accountant’s Copy and then hover over Client Activities.

c)     Select Save File and then Next.

d)    Select Accountant’s Copy and then Next.

e)    Enter the QuickBooks Accountant Copy dividing date. Then select Next.

f)      You now have a QuickBooks Desktop Accountant Copy. It will have a “.qbx” extension at the end of the filename.

2.     Send the file to your Accountant.

a.     Send to your Accountant by email or a file transfer service (i.e., WeTransfer). 

 

Option 2: To send to Accountant directly through QuickBooks:

1.     Go to the File menu and hover over Send Company File.

2.     Hover over Accountant’s Copy and hover over Client Activities.

3.    Select Send to Accountant and then Next.

4.     Select Accountant’s Copy and then Next.

5.     Enter the QuickBooks Accountant Copy dividing date. Then select Next.

6.     Enter your and your accountant’s email addresses.

7.     Create a QuickBooks Accountant Copy password for the file. You’ll need this QuickBooks Desktop accountant login to open it.

8.     When you’re ready, select Send.

QuickBooks will then close all open windows.

Whichever method you use, be sure to provide the password to your Accountant.
